Approvals and automatic publishing
Review sensitive assistant actions and choose whether publishing can proceed without asking, including safeguards after outside content.

What approval means
The assistant can prepare an action without immediately carrying it out. Sensitive actions can pause for approval: publishing, sending email, inviting external calendar guests, deleting calendar events and other operation-specific changes. Workspace branding changes always need approval. Paid-ad launch needs the target account owner's approval.
A request to draft something is not a request to send it. An approval card is a proposal, not a completed publication or message.
Before you approve
Check the action, exact target, content and timing. A publishing plan can include the campaign, text, media and one row per network with the account, destinations and schedule. Other cards show the relevant summary and change details. Review what your card actually contains; do not assume an omitted target is harmless.
If the proposed action is wrong or unclear, reject it and ask for a corrected proposal. Review the corrected card rather than approving an earlier version.
Approve or reject in chat
- Read the pending card in Assistant, including the destination and any timing or recipient details.
- Check the time remaining. This approval has expired. means it is no longer a live decision.
- Select Approve only if the exact proposal is right. Select Reject to decline it.
- Wait for the decision and action result. A disabled button during processing prevents repeated decisions.
- Check the outcome in the relevant campaign or connected service. Approval alone is not proof that the external action succeeded.
WhatsApp approval requests must be approved or rejected in WhatsApp. Their view in the web app is read-only.
Allow publishing without asking
The Assistant approvals settings card controls publishing. It is not a master switch for every sensitive tool, email, deletion or paid-ad action.
- Open Settings → Assistant → Assistant approvals.
- Find Let the assistant publish without asking. When off, every publish waits for your approval in chat.
- To enable it, turn on the switch. The Publish without asking? confirmation appears.
- Read the warning: the assistant can publish to your channels on its own, and a post can be seen before you remove it.
- Choose Turn it on to confirm or Cancel to leave it off.
- Wait for saving to finish. There is no separate save button. You can turn the switch off again directly to return to asking before publishing.
Important: Automatic publishing changes who reviews a real external action. Enable it only when you intend the assistant to publish without a fresh approval each time. It does not guarantee that every proposed publication is appropriate.
Outside-content safeguards
| Setting | What it does |
|---|---|
| Ask again when the conversation has read outside content | Reintroduces publishing review after outside material has been read. Pages and files may contain instructions written by someone else. This setting only has an effect when publishing without asking is enabled. |
| Treat files your team uploads as safe | When on, an uploaded image or document alone does not send publishing back for review; web pages still can. Turn it off if a file may originate outside your team. |
The outside-content switch is disabled when automatic publishing is off because every publish already waits for review. The file-trust switch, when available, is disabled unless both automatic publishing and the outside-content safeguard are on.
If the file-trust row is not shown, that control is not available in this workspace's current service. Its absence is not an instruction to upload untrusted files or a guarantee that the file contents are safe.
If something goes wrong
- The approval expired: ask the assistant to prepare a fresh proposal and review it again.
- The target or content is wrong: select Reject, explain the correction and wait for the revised proposal.
- An approval decision or external action fails: inspect the result before repeating a send or publish. Avoid duplicate requests while the outcome is unclear.
- A settings change shows That change did not save. Try again.: the card returns to the previous value. Recheck the switches and retry; do not rely on the value you clicked before the error.
- The card fails to load: use Retry. Do not assume an approval policy from a failed load.
- A safeguard switch is disabled: check the prerequisite switches above; this is different from a failed save.
