# Manage roles, seats and departures

Review member permissions, handle priced role changes and sponsored seats, and understand removal, leaving and ownership transfer.

Canonical: https://docs.lead-knight.com/en/team/roles-and-seats/

## Before you start

Open the correct workspace's **Team** page and check your role. Each member has an individual seat. A **Viewer** seat is half the plan price; changing between viewer and a publishing role can affect billing and require more than one person's approval.

## Change a role

1. Find the person in **Members** and review both their current role and seat status.
1. Choose **Change role** where permitted and select the intended role.
1. If shown, review **New monthly total** and the amount charged now for the rest of the billing period. If the price cannot be loaded, do not confirm using an assumed amount.
1. Confirm **Change role**. The result may say **Role changed** or **Waiting for the other approver**.
1. For a pending priced change, review **Role change requests**. The appropriate approver chooses **Approve** or **Decline**; the requester can use **Withdraw** where offered.

A priced role change can require both leadership and payer approval. The owner's role is not changed through this ordinary role selector. The screen only offers changes authorized for the current person and member.

## Set up a sponsored member's seat

1. As the sponsor, find the waiting member and choose **Assign plan** when offered.
1. Select **Plan** and **Term**.
1. Read the charge to your card today, regular monthly payment including VAT and effective date.
1. Choose **Assign** only after reviewing the quote. A changed quote must be reviewed again. The seat status then reflects the server's result, not merely the fact that the dialog closed.

A sponsored member cannot activate the sponsor's card on their own. If you are the member, wait for the sponsor and use the check-again action in your setup flow. See [Billing](https://docs.lead-knight.com/en/billing/overview/).

## Remove a member or leave yourself

- Owners may remove other eligible members. Admins may remove members and viewers, not the owner or another admin. The sponsor cannot be removed through this action.
- Use **Remove** beside the eligible person and read the confirmation. Removal is not the same as canceling someone's personal billing; review any remaining seat and billing obligations separately.
- To leave your own membership, use **Leave workspace** rather than removing yourself. Its confirmation warns that access is lost immediately.
- The owner and sponsor cannot leave through the ordinary leave action. Resolve ownership or sponsorship first using the appropriate controls.

## Transfer ownership

The owner uses **Transfer ownership**, selects an admin through **Choose an admin**, and chooses **Start transfer**. The recipient sees the pending transfer and accepts or declines. Starting it is not the same as the recipient accepting ownership.

## Paid-campaign permission is separate

Where shown, the sponsor's **Paid campaigns** controls decide whether a member may run campaigns whose management fee is billed to that sponsor. Read the consequence before allowing or revoking. Revoking prevents new starts, resumes and budget increases billed to the sponsor; it does not stop campaigns already running.

## If something goes wrong

- A control is absent: check role, target member and whether the person is the owner or sponsor.
- A role change is pending: another required approver has not accepted; do not assume it is active.
- Price unavailable: reload the page and review a fresh quote before confirmation.
- A member is frozen despite the expected role: seat access is a billing state, not a role change. Ask the payer to inspect billing.
- Leaving is blocked: owners and sponsors need to resolve their responsibilities first.
