# Edit contact details and tags

Update a contact's name, contact information, source, custom fields and deal details, and enter tags with the correct comma-separated format.

Canonical: https://docs.lead-knight.com/en/contacts/details-and-tags/

## What this does

Use a contact's **Details** tab to keep its information current without creating another record. You can update contact information, describe how the person found you, add tags and maintain deal details. Workspace-defined contact fields appear under **Columns**.

Most edits here save inline: leaving a text field or choosing an option submits the change. This is different from adding a note or editing a task, which have their own action buttons.

## Before you start

- Open **Contacts** in the correct workspace and find the existing person.
- You need edit access to the relevant category. Contact information, source, tags and custom contact fields use contact-card access; **Deal value**, **Currency** and **Commission** use deal access.
- Viewers cannot edit. A frozen contact cannot be edited, even when you normally have permission.
- Keep the workspace's required contact information. Depending on its settings, it can require **Phone**, **Email**, **Phone and email**, or **Phone or email**.

Read-only values are not editable buttons. Restricted information may be hidden; being able to open a record does not mean every field is available.

## Update a contact

1. Click the person's name or card in **Contacts**. The contact panel opens and loads the full record.
2. To change **Name**, click the name at the top. Enter the new name and click outside the field, or press Enter. The change is submitted when the field loses focus. Escape cancels this name edit.
3. Choose **Details**. You see the contact's configured fields, source and entry information, contact details, deal fields and **Tags**.
4. Click the current value beside **Phone** or **Email**, enter the correction, then click outside the field. The changed value is submitted automatically; there is no panel-wide **Save** button for these fields.
5. Under **How they found us**, click the source value and select an offered option. The selection saves immediately. Edit **Source details** separately and leave that field to save its text.
6. Under **Columns**, click a custom field's value. Text and number fields save when you leave them. Choice, yes/no and date fields save when you choose a value. The names and available choices depend on your workspace's configuration.
7. Update **Deal value**, **Currency** or **Commission** if needed, using the rules below. Text/number edits save when you leave the field; a currency selection saves when selected.
8. Edit **Tags** using the format below, then click outside the tag editor. The new tag list is submitted. Check for an error in the panel before moving on.

**Added through** shows how the record entered the CRM, who added it when available and the date. It is information to review, not an editable source selector. Changing **How they found us** does not edit that entry record.

## Tag format and limits

The editor contains one comma-separated list, not a separate Save action for every tag.

| What you want | What to enter in **Tags** |
| --- | --- |
| Two ordinary tags | `priority, newsletter` |
| One tag containing a comma | `"North, central"` |
| A tag containing quotation marks | `"Asked for ""premium"""` |
| A quoted tag followed by another | `"North, central", priority` |
| Remove all tags | Clear the field, then click outside it. |

- A contact can have at most 20 tags; each tag must be 1–40 characters.
- Commas outside quotation marks separate tags. To include a comma inside one tag, enclose the whole tag in double quotes.
- Within a quoted tag, write a literal double quote twice: `""`.
- The multiline editor also accepts line breaks within quoted tags. A line break is not the separator between tags; use commas between tags.
- Unquoted values have surrounding whitespace removed, and empty comma-separated entries are ignored.
- Close every quoted tag. After its closing quote, only spaces/tabs, a comma or the end of the list are valid.

> **Tip:** Use consistent tag spelling across contacts. A tag is a label on this record; see [Audiences](https://docs.lead-knight.com/en/audiences/overview/) for working with audience lists.

## Field options and validation

| Field | Rule |
| --- | --- |
| **Name** | Required, up to 120 characters; spaces alone are not a name. |
| **Phone** | Up to 32 characters in the submitted value; an invalid phone can still be rejected. |
| **Email** | Must be a valid email address when supplied, up to 254 characters. |
| **Source details** | Up to 200 characters. Clearing it removes that detail. |
| Custom contact fields | Text values support up to 500 characters. Date fields must contain real dates. Use the configured options for choice fields. |
| **Deal value** | A nonnegative amount. Clearing it removes the amount; the currency selector is disabled without an amount. A new amount uses the existing currency, or ILS if none was set. |
| **Commission** | A percentage from 0 to 100. Clearing the override uses the workspace default instead. |

Clearing **Phone** or **Email** is allowed only when the remaining information still meets the workspace's identity requirement. Do not remove required information merely to resolve a format error; correct it instead.

### Editing while logging a conversation

The communication workflow can offer **Update details**. That separate dialog edits **Name**, **Phone**, **Email** and, when permitted, **Tags**. Unlike the inline fields in **Details**, it requires **Save**; **Cancel** leaves that dialog without saving its changes. The same tag quoting and limits apply.

## If something goes wrong

| Symptom | Likely cause | What to do |
| --- | --- | --- |
| Clicking a value does not open an editor | The field is read-only, your role is viewer, or the contact is frozen | Ask the owner/admin to review the category permission or frozen status. |
| **Could not save the change** appears after editing tags | Quoting is malformed, a tag is too long, or there are too many tags | Reopen **Tags**, correct the syntax, keep within 20 tags of 1–40 characters and leave the field again. |
| A **Missing:** message names contact information | The change removed a workspace-required phone/email | Restore or correct the required information and submit the edit again. |
| An email or phone change is rejected | The entered value is not valid | Correct the address/number rather than creating a duplicate contact. |
| **Currency** cannot be changed | There is no **Deal value** | Enter a deal amount first, then select its currency. |
| A deal or commission value returns to its previous value | The amount was invalid, negative, or commission exceeded 100% | Enter a nonnegative amount or a percentage within range. |
| **Could not load contacts** appears | The panel could not load the full record | Click **Retry** before editing. |
